Why this role matters: 

 

The Associated Press seeks a highly organized, proactive and collaborative Executive Assistant to support the Global Chief Revenue Officer, while partnering closely with the VP, Americas Revenue and Head of Strategic Partnerships. 

 

Based in our New York headquarters, the Executive Assistant will serve as a trusted partner to revenue leadership, managing complex schedules and priorities, coordinating meetings and travel, supporting special projects and facilitating coordination across teams and time zones. The role involves supporting high-visibility client and industry events.   

 

While the role will report to and primarily support our SVP, Chief Revenue Officer, it will also support our VP, Americas Revenue and Head of Strategic Partnerships. 

 

This role follows a hybrid work schedule with regular in-office collaboration with revenue leadership. The successful candidate will exercise sound judgment, maintain strict confidentiality, and anticipate needs in a fast-paced, growth-oriented commercial environment. We are looking for someone who is solutions-oriented, detail-focused and calm under pressure, with the ability to manage multiple priorities while maintaining accuracy, professionalism and discretion. 

 

What you will do: 

Reporting to the SVP, Chief Revenue Officer, and supporting the VP, Americas Revenue and Head of Strategic Partnerships, you will: 

  • Manage complex calendars and scheduling priorities for the Global Chief Revenue Officer and VP, Americas Revenue. 

  • Coordinate domestic and international travel arrangements, itineraries and related documentation. 

  • Organize and support meetings, client engagements and special events, including logistics, materials and follow-up. 

  • Support high-visibility client and industry events, coordinating complex logistics including on-site logistics, hotel arrangements, travel and transportation. 

  • Prepare presentations, reports and other administrative materials as needed, including materials for client and partner meetings. 

  • Handle highly confidential and sensitive internal and external deal information, along with commercial, personnel and operational information, with discretion and professionalism. 

  • Prepare and submit expense reports and assist with invoice processing. 

  • Coordinate across departments and teams — including sales, business development and AP Intelligence — to support revenue operations and leadership priorities. 

  • Support day-to-day administrative operations, including office supply coordination. 

  • Perform other duties and special projects as assigned. 

 

Who you are: 

  • Minimum 3+ years of experience as an executive assistant or in a comparable administrative support role, including experience supporting senior leaders or executives. 

  • Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment with minimal supervision. 

  • Proven ability to anticipate needs, solve problems independently and adapt quickly to changing priorities. 

  • Exceptional organizational skills and attention to detail. 

  • Strong judgment, professionalism and ability to maintain confidentiality, including with sensitive deal and business information. 

  • Excellent written, verbal and interpersonal communication skills. 

  • Advanced proficiency with Microsoft Office Suite, particularly Outlook, Excel, PowerPoint and Word. 

  • Experience using Zoom, Concur or similar expense-management systems and workplace collaboration tools. 

  • Ability and willingness to occasionally work evenings and weekends in support of client and partner needs across time zones, including travel to and on-site support for major events. 

  • Advanced-level professional competency in written and spoken English. 

  • Authorization to work in the United States for any employer is mandatory.

  • Bachelor’s degree or equivalent experience 

  • Experience supporting executives in a sales, business development or client-facing commercial environment. 

  • Experience coordinating complex schedules and meetings across multiple stakeholders, clients and time zones. 

  • Experience planning or supporting large-scale events, conferences or client hospitality programs, including on-site logistics management. 

  • Experience supporting more than one senior leader simultaneously, with the ability to prioritize competing needs. 

  • Familiarity with Teams, Slack and other collaborative communication platforms. 

  • Comfort learning and using new technologies and productivity tools, including AI-enabled tools and CRM systems (e.g., Salesforce).

Salary & Benefits: 

The anticipated salary range for this position is $80,000 to $90,000, contingent on experience and other job-related factors.
