The Associated Press is an independent global news organization dedicated to factual reporting. Founded in 1846, AP today remains the most trusted source of fast, accurate, unbiased news in all formats and the essential provider of the technology and services vital to the news business. More than half the world's population sees AP journalism every day.
The Associated Press seeks an office administrator for its global production hub in Noida, India. The production hub will soon employ almost 100 video producers and photo editors working as part of a global team dealing with our award-winning daily output of news photography and video. The administrator role is an in-office job in our newly opened newsroom, five days a week, and will help maintain both the smooth operation of the office and help with the scheduling of colleagues working there. Other tasks and duties will be assigned as needed.
The role
We are looking for a self-starter to be an enthusiastic and proactive member of the team, who is not afraid to jump in, and also knows when to ask questions and seek clarification. This will be a varied position with no two days being the same. We expect you to ensure the smooth running of our Noida office; to work with colleagues both in India and elsewhere; to deal with outside vendors, such as our landlord or transportation company to ensure they have all the information they need, or to ensure they are paid; to take on assigned work as needed, from booking hotels for visiting colleagues, processing invoices, or helping ensure the smooth running of our operation. A critical aspect of this role will be assisting in the scheduling of our video producers and photo editors in Noida.
Who you are
You are an experienced coordinator or organizer. You are a great communicator in both spoken and written English, and have mastery of spreadsheets and calendars, time management and handling payments. You will be at ease speaking with representatives of outside companies as much as you are dealing with colleagues. You will also be able to handle detailed tasks such as booking taxis, tracking transport for multiple colleagues on a daily basis, or organizing schedules. This is not a management role, but it is a role in a global news organization where the pace of work is fast, and the issues we handle are global. We need someone who can jump in to support the work of our team in Noida wherever it is needed so they can focus on editorial work.
Required:
-
At least two years of office experience as an administrator, executive assistant or another function working in support of a team
-
Knowledge of the Microsoft suite of products including Outlook, Excel and Word
-
Exceptional attention to detail with strong organizational and communication skills
-
Ability to be assigned work and take it to completion
-
Exceptional spoken and written English
Please note, this is an administrative role only, and not suitable for those seeking a career in journalism. However, we strongly encourage an interest in the news and world affairs.
