The Associated Press Fund for Journalism (APFJ) is a nonprofit foundation created by The Associated Press that ensures state and local news outlets across the US have the content and support they need to deliver nonpartisan reporting that engages communities and advances civic life. 

 

The APFJ seeks a dynamic project coordinator to join our growing team. Reporting to our Senior Manager of Grant Operations with a dotted line to the CEO of APFJ, your work will make the continued success of the APFJ possible. Working behind the scenes, you’ll seamlessly organize and schedule meetings and events for APFJ executives with both internal and external stakeholders, support travel logistics and expense reporting, and move projects and grant activities along to meet deadlines while keeping documentation organized, updated, and visible to the right parties.  

 

This is a full-time role that will be based in the AP New York office. 

 

What you will do: 

  • Schedule and coordinate meetings for the CEO across internal and external calendars 

  • Create and manage team meeting agendas, materials, and presentations 

  • Communication management: draft, proofread, send, and follow up on emails and action items 

  • Monitor and report on progress across all grant projects and help coordinate moving parts 

  • Partner with the grant operations manager to prep and maintain documentation, and join cross-departmental check-ins to track grant deliverables from start to finish 

  • Spot friction points in grant delivery and day-to-day processes, and outline solutions 

  • Database upkeep and data entry 

  • Additional tasks as needed to support the APFJ team 

 

Who you are: 

  • 4+ years of experience with scheduling, project and event coordination 

  • Bachelor’s Degree required 

  • Proficiency in the Microsoft Office Suite, project management software, and CRM platforms 

  • Business acumen with experience working with cross-functional teams and senior managers in large, complex organizations 

  • Excellent communication and presentation skills across levels of leadership 

  • Ability to meet tight deadlines and use time efficiently to complete tasks on schedule 

  • Advanced-level professional competency in written and spoken English language 

  • Authorization to work in the United States for any employer

Salary & Benefits:

The anticipated salary range for this position is $65,000 - $75,000 - based on a candidate’s skills, qualifications and location. The Associated Press offers comprehensive benefits, which include:
