The Associated Press is seeking a highly organised and detail-focused Coordinator to join the AP Content Services team, reporting to the Head of Production.
The Coordinator plays a key role in day-to-day administration and management operations for content services, photo and video assignment sales. This position works with internal and external contacts across various departments, including sales, marketing, finance, accounts receivable and legal. Duties include the collection of assignment details from sales managers and clients, creation and updating of assignment briefs, call sheets, assisting with crew selection, communicating shoot requirements to production teams, communicating directly with clients to understand their requirements and also budgets and pricing, delivering the generated content to clients and reconciling billing and cost reports.
The successful candidate will be motivated, independent, and able to manage multiple projects at a time in a fast-paced environment with an eye for detail-particularly text and metadata. They will possess a unique blend of business, project, technical and communication skills, must be highly self-motivated, able to multi-task and meet tight deadlines in a demanding market. To be considered, you must be detail-oriented, have flexibility with scheduling and be available to occasionally work nights and weekends. The ability to work in a team environment, be adept at problem solving, priority driven, and able to work effectively in a fast-paced environment with all levels of management and clients is key to success in this role.
This is an exciting role within a growing department working across a multitude of products. The ability to edit videos would be a plus.
Key Responsibilities:
- Setting up projects, vendors and new clients in SAP, and Salesforce for all assignments for both costs and revenue;
- Supporting the production team in handling invoicing and billing enquiries relating to freelancers and crews being used for assignments; assist on draft budgets, production schedules and workflows.
- Coordinate crewing and equipment resources plus budgets and pricing.
- Communicate clearly and effectively with ENG video crews and still photographers.
- Monitor end-to-end progress of multiple shoots simultaneously, including close communication with crew on designated shoot days making sure jobs are on schedule and will meet client specification.
- Handle video and photo files of all types including the management of metadata.
- Occasional transcoding and exporting of video files.
- Quality control on fulfilled jobs from both an image quality and caption perspective for still shoots, so that distributed photographs follow client specifications and AP-style guidelines.
- Assisting the production team in uploading content to the AP Multimedia Newsroom/ Photo and Video distribution/ text distribution plus video shoots;
- Updating video crew and photographer databases;
- Providing support with contract creation for assignments, photographers and video crew;
- Assisting the Business Development Manager with recording revenue and credit notes, as well as undertaking general administrative tasks relating to contracts and credit note creation;
- Assisting the Finance department with invoice queries;
- Liaising with the Finance department to follow up on invoice payment for freelancers and crews;
- Notifying the Finance department when invoices need to be raised;
- Eventual scope to assist with inbound enquiries regarding AP Content Services’ products, and business development.
- Train new coordinators and freelancers; generate necessary process docs
Essential Criteria:
- Proficiency in Excel, Outlook, and Microsoft Word;
- Related job experience within a production company or media environment (broadcast PR company, stock photo agency, publishing, wire photo news agency, etc.) with duties that include coordination of multiple projects/assignments simultaneously.
- Knowledge of Adobe Creative Suite and Premiere.
- Working knowledge of Photo Mechanic, Photoshop, and Apples OS and Windows operating systems required.
- General knowledge of video workflows, photography and photo production
- Excellent interpersonal skills for communication across multiple departments and levels of management, as well as with clients and external contacts;
- Must be highly motivated, independent and detail-oriented;
- Eagerness to learn all aspects of the photography industry, new systems, new processes, and each new photo assignment and task.
- Ability to work nights and weekends when necessary.
- Possesses the ability to strategise and offer creative solutions to grow revenue and provide the optimal client experience.
